Keeping accurate records of patient paperwork is an essential part of keeping a practice running smoothly. Luckily, we have an app that can take on most of the burden for you! Read on to learn how eClipboard, one of our eServices, can streamline your workflow from patient forms to payments.
Check-in with the App
Checking a patient in has never been so simple. On an office tablet, your patients can easily enter their name and birthdate into the app. Open Dental will automatically mark the patient as arrived for their appointment. The app will even check for any forms the patient may be due to fill out.
Prefer to manually check the patient in and add forms? You can do that too! Simply disable self check-in and use the Kiosk Manager once the patient is in the office with you. Double-check the forms that were automatically added, and send more to the device if you need to.
TECH TIP: Enable the setting, “Show kiosk manager when staff changes patient status to arrived”, to easily open the kiosk manager when you need it.
Checklist
Once the patient checks in, they’re shown a checklist of tasks they need to complete.
This can include:
- Filling out forms
- Taking pictures (e.g., ID, insurance card, selfie)
- Making payments
- Reviewing and signing Treatment Plans or Payment Plans
Send Forms Over the Web
It’s often easier for patients to fill out forms in the comfort of their own home. It saves you time, too. Use eClipboard Web to have patients fill out forms online. You can put the link on your website or send it to your patients via email or text message (when using Integrated Texting). Patients authenticate themselves with their email or wireless phone number, and forms populate on a frequency that works for you.
Fill Out Forms
Some forms, like Medical History, can be configured to automatically populate for a patient on eClipboard at a set interval (e.g., every 2 years). Other forms, like informed treatment consent, can be manually queued for the app.
You can use Sheets or eForms for eClipboard. Both are customizable. eForms are powerful electronic forms that use conditional logic. This means that your patient only needs to fill out the information that applies to them. Sheets and eForms both pre-fill information so the patient can review the form when they are due, rather than filling out a blank form each time.

Take Photos
Spending too much time scanning IDs and insurance cards or taking patient photos? Let patients use eClipboard instead! Whether they are in the office with you, or completing their checklist on their own device, they can take photos as long as there is a camera available.
Take this one step further with eClipboard OCR, which will scan the patient’s insurance card and populate the information on their subsequent forms! Photos are also uploaded to the Imaging Module in Open Dental for easy access.
Make Payments
If you’re using one of our integrated credit card processors, patients can also make payments from eClipboard. You can add payments to their checklist when they have arrived for the day, or send it to the device as needed.
This will take the patient to the Payment Portal, where they can submit their payment using a saved method, or simply make a one-time payment without saving the card information.
Review Treatment Plans
Easily present Treatment Plans using the tablet app, so your patients can sign the plan without the hassle of printing them out.
If the patient is checking in, easily send the Treatment Plan to the device they’re logged into and it will be added to their checklist. Alternatively, if you need to send it later in the appointment, you can use the QR code scanner in the app to open the Treatment Plan on the device.
Review Payment Plans
Need a patient to sign a Payment Plan? They can do this from the app too! Simply send the Payment Plan to the device while the patient is checking in or use the QR code scanner to open the agreement.
Branding
Take eClipboard to the next level with your branding profile. Add a logo to display when the patient checks into the app or navigates to the eClipboard web link. You can even add your branding colors that change the entire look of the app.
